Development Operations Assistant
Kaufman Music Center is seeking a Development Operations Assistant to join its Development Department. This position will report to the Senior Manager, Events and Individual Giving and provide backline administrative assistance and data optimization for the full team in support of the Center’s mission and fundraising goals.
Essential Duties and Responsibilities:
- Prepare gift entry and acknowledgments for all individual donors.
- Maintain Tessitura fundraising database, including but not limited to donor records, reporting, and list segmentation.
- Maintain organized crediting documents, including Annual Fund listing, ensuring accurate data and recognition across brochures, programs, and online platforms.
- Collaborate across departments to ensure all enrolled families and students are captured accurately in Tessitura fundraising database.
- Work with Senior Manager, Events and Individual Giving to optimize fundraising processes and ensure all staff are regularly receiving bi-weekly prospect and renewal lists.
- Lead once-monthly wealth screening and ensure proper coding of all high potential individuals to ensure follow-up communications take place.
- Organize and prepare donor data for mailings, mass emails, etc.
- Participate in other administrative duties as assigned.
Other requirements:
- Proficiency with Tessitura or other database/CRM software
- Proficiency with Microsoft applications and Windows OS
- Strong attention to detail, data, and follow-through, including streamlining/automating processes
- Excellent interpersonal communication and organizational skills

The position is a part-time variable-hour role, approximately 12-15 hours per week September through June and limited work in July and August, in person.

Hourly Rate: $25 / hour
Billing and Payroll Coordinator
Kaufman Music Center is seeking a full-time Billing and Payroll Coordinator to join its Lucy Moses School team. This position will report to the Associate Director, Lucy Moses School and has primary responsibility for all billing and tuition collection for Lucy Moses School. The position is the “Power User” of the school’s database, Studio School Pro. Other responsibilities include coordination of registration and attendance report for faculty payroll, monthly reconciliation of accounts receivable with the Business Office, processing of walk up and telephone registrations and general administrative support.
Primary responsibilities include:
- Preparation and submission of Lucy Moses School faculty payroll
- Assisting end users with electronic payroll entries
- Updating pay rates and information in the registration/payroll system
- Preparation of class lists for teachers; communicating with faculty about changes in class and lesson enrollment for billing and payroll purposes
- Regular billing and collections tracking and follow up with students
- Process financial aid applications and prepare for review by the financial aid committee
- Administrative support as needed
Responsibilities shared with Lucy Moses School team:
- Market programs to parents and prospective adult students
- Respond to customer service needs
- Processing telephone and walk-up registrations
- Processing adjustments and informing teachers of program changes
- Registration data entry
- Reporting the status of class enrollments; assisting in follow up with cancellations or waiting lists
- Work with other departments on school related projects
Qualifications:
The ideal candidate is organized, methodical and able to work in a fast-paced environment. Must have ability to work under pressure, multitask, have outstanding telephone etiquette, and interpersonal skills. Strong communication skills, both verbal and written, are very important. Computer skills: Microsoft Office, internet and working with databases. A background in music and in an arts/education environment are a plus.
Schedule:
This is a full-time in-person position with a regular work schedule Monday-Friday.
